For the controller who owns journal-entry preparation and approval, this fragmentation creates rekeying, slow exceptions, posting risk, and incomplete audit evidence. Why journal-entry preparation and approval breaks down
The process often spans more systems and handoffs than the final general-ledger entry reveals. Preparers collect invoices, calculations, transaction reports, approval emails, and spreadsheet schedules. They then interpret accounting rules, validate master data, reconcile amounts to a subledger or supporting report, and route the entry for review.
Each manual handoff creates another opportunity for incomplete fields, outdated account mappings, duplicate work, or unclear ownership. When an exception appears—such as a missing legal entity, an invalid cost center, or a mismatch between the journal and its supporting schedule—the resolution often returns to email.
The pressure is measurable. In a sponsored SAPinsider record-to-report study of 108 SAP finance and accounting community members, 55% cited pressure to reduce manual and repetitive accounting tasks, up from 37% in the preceding 2023 survey. Financial-statement review and finalization, including management adjustments, took more than nine days on average. Fragmentation also affects trust. A vendor-commissioned global survey conducted by Censuswide for BlackLine covered 1,339 C-level and senior finance and accounting professionals. Among respondents who did not completely trust their organization’s data, 31% cited too many data sources, 27% cited cumbersome spreadsheets, and 25% cited outdated processes such as manual collection. Across all respondents, 68% perceived manual work as exposing their organization to errors that could undermine decisions, according to the BlackLine financial-data survey. These are reported perceptions, not a measured error rate.
Accuracy without governed approval is not enough
Finance leaders should measure first-time-right performance, not just whether entries eventually post. APQC’s cross-industry benchmark of 4,713 companies reports a median first-time-right journal-entry rate of 95%. At the median, 5% are therefore not processed error-free initially. The benchmark should not be converted into a transaction count without applying the organization’s own journal volume.
Accuracy is only one control dimension. Approval must preserve segregation of duties, supporting evidence, policy rationale, and review history. The PCAOB’s January 2025 journal-entry audit focus identifies recurring deficiencies involving journal-population completeness, supporting evidence, control understanding, entry selection, and documentation of fraud-risk criteria.
A faster journal process has limited value if finance cannot prove who prepared, validated, approved, and changed each entry.
A controlled target workflow for journal entries
A practical journal-entry preparation and approval workflow has four stages:

Establish a testable control and performance baseline
Begin with one recurring journal class rather than the entire close.
